Registration Information
The following are included in the registration fee:
- Access to the Arctic Arts Summit and all artistic programming
- Refreshments and lunch June 16-18
- Welcome reception June 15
- Two conference dinners June 16-17
- Concert at NorrlandsOperan June 17
Reflecting the Summit’s principle of being for the North, from the North, participation will prioritize delegates who live and work within the Arctic, sub-Arctic regions and arctic indigenous nations, as well as those whose professional, political, artistic, or cultural practices are connected to Northern contexts. The aim is to ensure that Northern voices, perspectives, and priorities remain central to the dialogue and outcomes of the Summit.

IMPORTANT INFORMATION
ACCOMMODATION
Rooms have been reserved at local hotels to guarantee accommodation availability for Arctic Arts Summit delegates. You may choose to add accommodation during the registration process, but it is not mandatory. Please note: These reserved hotel allotments will be released after April 15, and we cannot guarantee availability or preferential rates after this date.
VAT (Value Added Tax)
Swedish tax law requires all delegates for a physical conference to pay the conference fees including 25% VAT. You may be able to reclaim this VAT. Please contact your local tax authority or the Swedish Tax Agency for any further questions specifically related to Swedish VAT refunds.
PAYMENT OPTIONS
Payment can be made by credit card (VISA and Mastercard are accepted) or invoice.
Invoice
You will need the following information to pay by invoice:

- Choose from a list of WAN-carriers
- Provide an electronic address including a Peppol-ID with a four-digit prefix or a 13-digit GLN number.
Foreign Participants:
- Foreign participants who choose invoice payment will receive an invoice by email, which will include information on bank transfers.
BOOKING TERMS & CONDITIONS
CANCELLATION POLICY
- Conference & hotel fees
- Conference and hotel fees are refundable until April 15, 2026 (minus a 500 SEK + 25% VAT administration fee).
- From April 16, 2026, all conference and hotel fees are non-refundable. If payment has not yet been made, you are liable for all outstanding conference and hotel fees. You may still transfer your registration to a colleague.
CHANGES
- Name changes can be made up until May 15 free of charge. For name changes afterwards a 200 SEK administration fee excluding VAT applies.
- All changes and cancellations must be sent in writing via e-mail.
- You are responsible for providing complete and accurate information during the registration process. If an invoice needs to changed after the initial invoice has been sent, an administrative fee of 375 SEK + 25 % VAT will apply.
GDPR
The conference organizers handle all personal data according to the GDPR law. By accepting this agreement, you agree that your submitted contact details may be used for purposes related to the Arctic Arts Summit or future simliar events.
During the conference photographs and videos may be taken. It’s possible that photos and videos you appear in may be publicized on the organizers websites, social media, or newsletters.
FORCE MAJEURE
In the event the conference is cancelled (by the organizers, venue, or subcontractors) due to unforseen circumstances, an administrative fee of 375 SEK per delegate remains to be paid by the delegate.
